Google Docs/Student Apps Instruction for Staff



Note: When clicking the links in these instructions, it may be helpful for you to right- or control-click and choose open in new window or new tab.  This will allow you to keep these directions open.

If you have not used Student Apps before, you will have to go to this site to create an account (log in with your Campus username and password):

https://mis.spps.org/gapps/

The above website also has a section to export your class rosters including student name and email address.  This file can be imported to your Google contacts to make communicating and collaborating with your students much easier.  Follow the instructions linked on that page.  A PDF of the instructions can also be found at the bottom of this page.


Once you have your account created, log on here:

Before using Google Docs, you must go into your Google Mail account and enable email forwarding to your spps.org email account.  This is a legal requirement for SPPS. 

  • Click Mail in the upper corner of the main docs.  Then click Settings in the upper right.  Click Forwarding and POP/IMAP.  Click the button for Forward a copy of incoming mail and enter your spps email address in the box.  Click Save Changes and close the Mail tab or window.

The blue bar near the top of the screen contains most of the actions you can perform.

The Basics:

To create a new document, presentation, spreadsheet, form, or folder, click New.

If you have a file created by another program (many programs are compatible including Microsoft Work, Excel, and PowerPoint) you would like to convert into a Google Doc, click Upload.

To share an existing Google Docs file with another user (SPPS staff or students), check the box next to it and then click Share.  Sharing can also be done from inside the individual document window.

Working with Templates:

To find a template you know already exists, search for it using the box at the top of the main docs page and the Search Templates button.

To create a template using an doc you have made, click Browse Template Gallery and then click Submit a Template.  This template will be available to anyone in the SPPS network (all schools).
